Word 7 Standard Shortcut Keys

1. Work With Menus

You can choose any menu command with the keyboard. Press ALT+ the letter underlined in the menu name, and then press the letter underlined in the command name.

To display the shortcut menu use SHIFT+F10

To display the application control menu use SPACEBAR (when the menu bar is active)

To select the next or previous command on the menu use DOWN ARROW or UP ARROW (with the menu displayed)

To select the menu to the left or right; or, with a submenu displayed, toggle the selection between the main menu and the submenu use LEFT ARROW or RIGHT ARROW.

 

2. Edit And Move Text

 

2.1. Select Text And Graphics

Select text by holding down shift and pressing keys that move the insertion point. As long as you hold down shift and use navigational keys, you will extend the selection.

To extend a selection one character to the right use SHIFT+RIGHT ARROW

To extend a selection one character to the left use SHIFT+LEFT ARROW

To extend a selection to the end of a word use CTRL+SHIFT+RIGHT ARROW

To extend a selection to the beginning of a word use CTRL+SHIFT+LEFT ARROW

To extend a selection to the end of a line use SHIFT+END

To extend a selection to the beginning of a line use SHIFT+HOME

To extend a selection one line down use SHIFT+DOWN ARROW

To extend a selection one line up use SHIFT+UP ARROW

To extend a selection to the end of a paragraph use CTRL+SHIFT+DOWN ARROW

To extend a selection to the beginning of a paragraph use CTRL+SHIFT+UP ARROW

To extend a selection one screen down use SHIFT+PAGE DOWN

To extend a selection one screen up use SHIFT+PAGE UP

To extend a selection to the end of a document use CTRL+SHIFT+ END

To extend a selection to the beginning of a document use CTRL+SHIFT+ HOME

To extend a selection to include the entire document use CTRL+A

To extend a selection to a vertical block of text use CTRL+SHIFT+F8, and then use the ARROW keys; Press ESC to cancel selection mode

To extend a selection to a specific location in a document use F8+ARROW keys; press ESC to cancel selection mode

Tip: if you know the key combination to move the insertion point, you can select the text by using the same key combination while holding down shift. For example, CTRL+RIGHTARROW moves the insertion point to the next word, and CTRL+SHIFT+RIGHT ARROW selects the text from the insertion point to the beginning of the next word.

 

2.2. Copy and Move Text and Graphics

To copy text or graphics use CTRL+C

To copy formats use CTRL+SHIFT+C

To move text or graphics use F2

To paste text or graphics use CTRL+V

To paste formats use CTRL+SHIFT+V

 

2.3. Delete Text and Graphics

To delete one character to the left use BACKSPACE

To delete one word to the left use CTRL+BACKSPACE

To delete one character to the right use DELETE

To delete one word to the right use CTRL+ DELETE

To cut selected text to the clipboard use CTRL+X

To undo the last action use CTRL+Z

To cut to the spike use CTRL+F3

 

2.4. Move to a Character, Word, Paragraph, Column, or Object

To move one character to the left use LEFT ARROW

To move one character to the right use RIGHT ARROW

To move one word to the left use CTRL+LEFT ARROW

To move one word to the right use CTRL+RIGHTARROW

To move one paragraph up use CTRL+UP ARROW

To move one paragraph down use CTRL+DOWN ARROW

To move to the previous frame or object use ALT + UP ARROW

To move to the next frame or object use ALT+DOWN ARROW

To move one column to the left (in a table) use SHIFT+TAB

To move one column to the right (in a table) use TAB

 

2.5. Move to a Line, a Page, a Screen, the Beginning or End of a Document, or the Previous Revision

To move up one line use up ARROW

To move down one line use down ARROW

To move to the end of a line use END

To move to the beginning of a line use HOME

To move up one page use ALT+CTRL+PAGE UP

To move down one page use ALT+CTRL+PAGE DOWN

To move up one screen use PAGE UP

To move down one screen use PAGE DOWN

To move to the bottom of a screen use CTRL+PAGE DOWN

To move to the top of a screen use CTRL+PAGE UP

To move to the end of a document use CTRL+END

To move to the beginning of a document use CTRL+HOME

To move to a previous revision use SHIFT+F5

To move to the location of the insertion point when the document was last closed use SHIFT+F5

 

2.6. Insert Paragraphs and TAB Characters

To insert new paragraphs in a cell use ENTER

To insert TAB characters in a cell use CTRL+TAB

 

2.7. Insert Special Characters

To insert press

To insert field use CTRL+F9

To insert AutoText entry type AutoText entry name, and then press ALT+CTRL+V

To insert line break use SHIFT+ENTER

To insert page break use CTRL+ENTER

To insert column break use CTRL+SHIFT+ENTER

To insert optional HYPHEN use CTRL+HYPHEN

To insert nonbreaking HYPHEN use CTRL+SHIFT+HYPHEN

To insert nonbreaking space use CTRL+SHIFT+SPACEBAR

To insert copyright symbol use ALT+CTRL+C

To insert registered trademark symbol use ALT+CTRL+R

To insert trademark symbol use ALT+CTRL+T

To insert ellipsis use ALT+CTRL+PERIOD

To mark a table of contents entry use ALT+SHIFT+O

To view spike contents use CTRL+SHIFT+F3

 

2.8. Move Around in a Table

To move to the next cell in a row use TAB

To move to the previous cell in a row use SHIFT+TAB

To move to the first cell in a row use ALT+HOME

To move to the first cell in a column use ALT+PAGE UP

To move to the last cell in a row use ALT+END

To move to the last cell in a column use ALT+PAGE DOWN

To move to the previous row use up ARROW

To move to the next row use down ARROW

 

2.9. Select Text and Graphics in a Table

To select a column use ALT and hold it down while you click the column

To extend a selection (or block) use CTRL+SHIFT+F8, and then use the ARROW keys

To reduce the selection size use SHIFT+F8

To select an entire table use ALT+5 on the numeric keypad

 

2.10. Extend a Selection In Extend Mode

To select the nearest character use F8+character

To turn extend mode on or off use F8

To reduce the size of a selection use SHIFT+F8

 

3. Apply Formatting

 

3.1. Format Characters

To change the font use CTRL+SHIFT+F

To change the font size use CTRL+SHIFT+P

To increase the font size use CTRL+SHIFT+>

To decrease the font size use CTRL+SHIFT+<

To increase the font size by 1 point use CTRL+]

To decrease the font size by 1 point use CTRL+[

To change the case of letters use SHIFT+F3

To format letters as all capitals use CTRL+SHIFT+A

To apply or remove bold formatting use CTRL+B

To apply or remove an underline use CTRL+U

To underline single words use CTRL+SHIFT+W

To double-underline text use CTRL+SHIFT+D

To apply or remove hidden text use CTRL+SHIFT+H

To apply italic formatting use CTRL+I

To format letters as small capitals use CTRL+SHIFT+K

To apply subscripts (automatic spacing) use CTRL+EQUAL SIGN

To apply superscripts (automatic spacing) use CTRL+SHIFT+ EQUAL SIGN

To remove formatting (plain text) use CTRL+SHIFT+Z

To change the selection to symbol font use CTRL+SHIFT+Q

To display nonprinting characters use CTRL+SHIFT+* (asterisk)

 

3.2. Format Paragraphs

3.2.1. When setting line spacing

To single-space lines use CTRL+1

To double-space lines use CTRL+2

To set 1.5-line spacing use CTRL+5

To add one line of space preceding text use CTRL+0 (zero)

To remove the space preceding text use CTRL+0 (zero)

 

3.2.2. When setting paragraph alignments and indents

To center a paragraph use CTRL+E

To justify a paragraph use CTRL+J

To left align a paragraph use CTRL+l

To right align a paragraph use CTRL+R

To indent a paragraph from the left use CTRL+M

To remove a paragraph indent from the left use CTRL+SHIFT+M

To create a hanging indent use CTRL+T

To reduce a hanging indent use CTRL+SHIFT+T

To remove paragraph formatting use CTRL+Q

 

3.2.3. When applying styles

To apply a style (with the formatting toolbar displayed) use CTRL+SHIFT+S

To carry out the style command (format menu) (formatting toolbar not displayed) use CTRL+SHIFT+S

To start AutoFormat use CTRL+K

To apply the normal style use CTRL+SHIFT+n

To apply the heading 1 style use ALT+CTRL +1

To apply the heading 2 style use ALT+CTRL +2

To apply the heading 3 style use ALT+CTRL +3

To apply the list style use CTRL+SHIFT+l

 

4. Print a Document

To print entire document use CTRL+P

To print portions of a document, or multiple copies, use ALT+F, P and make selections in dialog box

 

5. Merge Documents

To preview a mail merge use ALT+SHIFT+K

To merge a document use ALT+SHIFT+N

To print the merged document use ALT+SHIFT+M

To edit a mail merge data document use ALT+SHIFT+E

To insert a merge field use ALT+SHIFT+F

 

6. Work with Fields

To insert date field use ALT+SHIFT+D

To insert page field use ALT+SHIFT+P

To insert time field use ALT+SHIFT+T

To insert empty field use CTRL+F9

To update linked information in a word source document use CTRL+SHIFT+f7

To update selected fields use F9

To unlink a field use CTRL+SHIFT+F9

To switch between a field code and its result use SHIFT+F9

To switch between all field codes and all results use ALT+F9

To run a gotobutton or macrobutton from the field that displays the field results use ALT+SHIFT+F9

To go to the next field use f11

To go to the previous field use SHIFT+f11

To lock a field use CTRL+f11

To unlock a field use CTRL+SHIFT+f11

 

7. Work on an Outline

To promote a paragraph use ALT+SHIFT+LEFT ARROW

To demote a paragraph use ALT+SHIFT+RIGHTARROW

To demote to body text use CTRL+SHIFT+n

To move selected paragraphs up use ALT+SHIFT+UP ARROW

To move selected paragraphs down use ALT+SHIFT+DOWN ARROW

 

7.1. To Change What Word Displays in Outline View

To expand text under a heading use ALT+SHIFT+PLUS SIGN

To collapse text under a heading use ALT+SHIFT+MINUS SIGN

To show all text or headings use ALT+SHIFT+A

To display all text use asterisk (*) key on the numeric keypad

To hide or display character formatting use slash (/) key on the numeric keypad

To show the first line of body text or all body text use ALT+SHIFT+l

To show all headings with the heading 1 style use ALT +SHIFT+1

To show all headings up to heading n use ALT +SHIFT+n
